Young Eagles Online Registration Update

The full transition to the new EAA Young Eagles Online Registration system continues, so I wanted to take a moment to update you on the new Young Eagles online registration system (EAAChapters.org).

Since the transition began in fall of 2024, we have been taking feedback from dozens of chapters. Feedback has ranged from bugs found upon the production launch, missed functionality in the initial launch, as well as some 'nice to have' functions.

Since the beginning of the year, here is a list of enhancements/fixes put into place:

• Firefox/Safari login issues
• Pilot RSVP – Edit A/C and Chapter Info
• Volunteer search function
• Membership/YPP resync
• Slow system performance (Assign Pilots)
• Downloadable QR code
• iPad sync errors
• Waitlist function errors
• Walk-Up function errors
• Access to the cancelled list
• Post-event access
• Check-In tab updates (Pre-printing of certificates, sorting, confirmed column)
• Marking volunteers Active/Inactive
• Error message while creating an event
• Updating waiver in parent confirmation email
• ToolTips - AKA hover function showing YPP/membership expiration dates
• Added descriptors on the event creation tab
• Addition of 6-month trial memberships for nonmember ground volunteers, so they can create their online profile
• Additional short form tutorials videos have been uploaded here.

As I write the update, we are in the midst of Phase 3 Development.

Phase 3 work with the developer includes:

• Major rework of the Assign Pilots tabs
• Updating the 3-day confirmation and reminder email series
• Parent UI/UX enhancements (Timeslot selection and event messaging)
• Updating printing errors and printing process improvements
• Customization of cancel and reschedule email messages
• Adding additional content to the Pre-Reg Report tab
• Email notifications to coordinators when questions are submitted with direct links back to the question

After Phase 3 is completed, there is still more work to be done

• Addition of Flying Start, YE Workshops, and YE Build and Fly
• Update reporting functions and ability to export data as PDFs and Excel files
• Updated Pilot Labels and Flight Tickets
• Post-event reporting and data exports
• Addition of email log
• Fix pilot flight history on main menu
• Additional waitlist management items
• Continued refinement of specific functions/operations

I want to thank all the Young Eagles volunteers that have been providing feedback. Your input and patience during this transition has been greatly appreciated. Our entire team is committed to supporting this tool and your transition to this new offering.

Candidly, development is taking longer than I had initially hoped, but that can be pinned on two contributing factors. Our team, primarily me, missed certain items when providing the developer with the initial requirements documentation. Secondly, to ensure continued development is completed appropriately, there is an in-depth process to ensure all updates are properly documented, reviewed, tested, and implemented. This can take multiple weeks.

Ultimately, EAA is determined to provide a finished product that meets and exceeds the usability of what you've come to expect from an online registration offering.

The final three tutorial videos (Checking In/Assigning Pilots, Email Functions, and Final Reporting) will be released after Phase 3 is completed.
